Transit Stock

Transiting inventory manages inter-warehouse transfers. Transit operations support two workflows: staged transits (default two-step ship/receive with “In Transit” hold status) and direct transits (immediate transfer when Admin Option 507 enabled). Choose based on physical shipping time and operational requirements.

All transits create audit trails with full tracking from origin to destination for accountability and inventory accuracy.

Inter-Warehouse Transits

Transfer inventory between warehouses using staged (ship/receive) or direct (instant) workflows.

Access Paths:

  • Place in Transit: Inventory → Inventory → Locate/Move → “Place Units in Transit” button
  • Receive Transit: Inventory → Inventory → Locate/Move → “Receive Items in Transit” button
  • Direct Transit: Inventory → Inventory → Locate/Move → “Direct Transit” button (Admin Option 507 only)

Shipping Items (Staged Transits)

Workflow:

  1. Navigate to Inventory → Inventory → Locate/Move
  2. Select source warehouse
  3. Enter search criteria (item ID, supplier, location) or leave blank for all items
  4. Click “Place Units in Transit”
  5. Select items to ship:
    • Check Mark column
    • To split quantities: Click units link, enter split amount
  6. Select destination warehouse (or existing transit slip to append)
  7. Click “Ship Units” to create transit
  8. Items placed on hold with “In Transit” status
  9. Print transit slip for shipping documentation

Features:

  • Add to existing transit slips to consolidate shipments
  • Split quantities for partial shipments
  • Multiple items per transit slip
  • Hold status prevents source warehouse allocation

Receiving Items (Staged Transits)

Workflow:

  1. Navigate to Inventory → Inventory → Locate/Move
  2. Select destination warehouse
  3. Enter search criteria or leave blank for all in-transit items
  4. Click “Receive Items in Transit”
  5. Assign destination location in To Location field
  6. Select items to receive:
    • Check Mark column
    • For partial receipt: Click units link, enter quantity receiving now
  7. Click “Receive Units” to complete
  8. Items available at destination warehouse

Partial Receipts:

  • Split quantities when only portion delivered
  • Remaining units stay in transit status
  • Multiple receives possible against single transit slip
  • Cancel units for damaged/lost items before receiving

Direct Transit (Instant Transfer)

Requirements: Admin Option 507 must be enabled

Workflow:

  1. Navigate to Inventory → Inventory → Locate/Move
  2. Enter search criteria
  3. Click “Direct Transit” button
  4. Select source warehouse
  5. Select destination warehouse in To Warehouse field
  6. Assign destination location in To Location field
  7. Select items to move:
    • Check Mark column
    • To split quantities: Click units link, enter amount
  8. Click “Move Units” for immediate transfer
  9. Items instantly available at destination

Important: No transit slip generated, no hold status, no receiving step required.

Move Stock Grid Transits

Initiate transits using the Move Stock grid interface with staging area and batch processing.

Access: Inventory → Stock → Move Stock (Security ID 361)

Workflow:

  1. Navigate to Inventory → Stock → Move Stock
  2. Select source warehouse
  3. Check Transit checkbox
  4. Select destination warehouse in To Warehouse field
  5. For direct transits: Select destination location (Admin Option 507 only)
  6. Add items to grid:
    • Enter Item ID
    • Specify quantity
    • Provide source location
    • Add serial numbers if required
  7. Save to stage multiple items (review before executing)
  8. Transit to finalize:
    • Staged: Creates transit slip, places items on hold
    • Direct: Immediate transfer to destination

Restocking Transits

Automated transit generation based on reorder points and par levels for systematic warehouse replenishment.

Mobile Transits

Complete transit operations on mobile devices with barcode scanning and real-time inventory updates.

Access: Inventory Pro Mobile → Inventory Management → Move Stock

Supported Transit Types:

  • Staged transits (default two-step ship/receive)
  • Direct transits (when Admin Option 507 enabled)
  • Bulk transit queueing for batch processing

Workflow:

  1. Login to Inventory Pro Mobile
  2. Select source warehouse
  3. Navigate to Inventory Management → Move Stock
  4. Check Transit checkbox
  5. Select destination warehouse
  6. Scan or enter item details (barcode scanning supported):
    • Item ID
    • From location
    • To location (for direct transits)
    • Units
    • Serial/RFID (if applicable)
  7. For bulk mode: Click Queue to stage multiple items, then review on Review tab
  8. Click Move to execute transit

Mobile Configuration:

Transit Slip Management

Transit slips provide documentation and tracking for staged inter-warehouse transfers.

Access: Inventory → Inventory → Transit Slips

Transit Slip Information:

  • Header: Origin/destination warehouses, transit ID, creation date, user
  • Line items: Complete item listing with quantities, descriptions, serial numbers
  • Status: Open, Partially Received, Fully Received, Cancelled
  • Tracking: Received date, receiving user, reference numbers

Features:

  • Automatic generation for all staged transits (unique tracking ID)
  • Print documentation for shipment and receiving
  • Email distribution to relevant parties
  • Status tracking from creation to completion
  • Electronic archive of all transit documentation

Transit Slip Status:

  • Open: Created, awaiting receipt at destination
  • Partially Received: Some items received, others in transit
  • Fully Received: All items received, slip closed
  • Cancelled: Transit cancelled, items returned to source (if applicable)

Validation and Business Rules

Item and Stock Validation:

  • Items must be active (not discontinued) and enabled for destination warehouse (Admin Option 504)
  • Sufficient quantity available at source location (not on hold for staged transits)
  • Serial numbers must exist and be available at source
  • Source and destination warehouses must differ

Location Validation:

  • Source location must exist and be active
  • Destination location required for direct transits (optional for staged-can assign during receiving)
  • Source and destination locations must differ for direct transits

Serial and RFID Tracking:

  • Serial numbers required for serialized items, validated against uniqueness settings
  • RFID tags validated for uniqueness system-wide
  • Alternate serial/lot tracking when Admin Option 271 enabled

Best Practices

Planning and Coordination: Choose staged transits for physical shipments with external carriers or approval workflows. Use direct transits for same-facility transfers or immediate availability requirements. Schedule regular restocking cycles based on par levels and demand patterns. Notify receiving warehouse of incoming transits and verify destination locations exist before executing. Group related items on single transit slips for efficient warehouse processing.

Documentation and Quality Control: Print transit slips immediately after creation and include with physical shipment. Verify item IDs, quantities, and warehouse selections before executing. Physically inspect items for damage before shipping. Validate serial numbers match system records. Document partial shipments and communicate status to receiving warehouse.

Receiving and Location Assignment: Process staged transit receipts promptly upon delivery to maintain inventory accuracy. Physically count and verify quantities against transit slip. Assign specific destination locations during receiving rather than later. Use partial receipt functionality for damaged, short, or staged deliveries. Document any receiving variances immediately in remarks field.

Troubleshooting

“Cannot create transit to same warehouse”

  • Problem: Source and destination warehouses are identical
  • Solution: Verify destination warehouse selection. Use Move Stock for intra-warehouse location changes, not transits
  • Prevention: Transits are for inter-warehouse only; use Move Stock for same-warehouse movements

“Item not available for transit”

  • Problem: Insufficient quantity at source, item on hold, or already in transit
  • Solution: Use Locate/Move search to check actual availability and hold status at source location
  • Prevention: Search inventory before initiating transits; don’t create duplicate transits for same items

“Item not turned on for target warehouse”

  • Problem: Item not enabled for destination warehouse (Admin Option 504 active)
  • Solution: Enable item in destination warehouse assignments or disable Admin Option 504 globally
  • Prevention: Maintain current warehouse-item assignments before creating transits

Transit slip not generating (Staged Transits)

  • Problem: Direct transit mode enabled (Admin Option 507) or system configuration issue
  • Solution: Verify Admin Option 507 setting. When 507 enabled, no transit slip generates (uses move reference). For staged transits, disable Option 507
  • Prevention: Understand Admin Option 507 changes transit behavior globally to direct mode

Items immediately available at destination (expected In Transit status)

  • Problem: Admin Option 507 enabled, causing direct transit instead of staged
  • Solution: This is correct behavior for direct transits. Disable Admin Option 507 if staged transits with hold status desired
  • Prevention: Admin Option 507 affects all transits globally; understand implications before enabling

Cannot receive items not in transit

  • Problem: Attempting to receive items not shipped via staged transit, or already received
  • Solution: Verify items have “In Transit” hold status. Check if direct transit was used (no receiving needed). Confirm not already received
  • Prevention: Use “Receive Items in Transit” only for staged transits; direct transits require no receiving step

Partial receipt issues

  • Problem: Splitting units incorrectly during receiving
  • Solution: Use split functionality: click units link, enter quantity to receive now, remaining stays in transit
  • Prevention: One receipt per partial delivery; don’t split line items multiple times

Key Reports

Access transit reports via Reports → [Search] or Inventory → Transit Slips.

Transit Slips (Report 66): Summary of all transit slips with origin/destination warehouses, creation date, status, and value. Filter by date range, warehouse, or status to track inter-warehouse transfers and identify open transits requiring follow-up.

Items In Transit (Report 108): Current in-transit inventory showing items, quantities, source/destination warehouses, and days in transit. Identify aging transits and shipping delays. Essential for monitoring items between warehouses.

Restocking Transit Suggestions (Report 116): Recommended transfer quantities based on par levels and warehouse stock for optimal inventory distribution. Shows source availability and destination needs to plan replenishment cycles.

Transit Slip Details (Report 122): Complete slip information with line items, quantities shipped vs received, serial numbers, and receiving status. Use for investigating specific transits and resolving discrepancies.

Move Slip (Report 120): Documentation for move transactions including transits executed via Move Stock grid. Shows complete transaction details and audit trail.

All reports support filtering by date range, warehouse, item, and status. Export to Excel for further analysis.
